HOW DOES NYOA WORK?

 

Here we would like to do our best to answer some of the most frequently asked questions.

 

NYOA was originally incorporated in 1997 as WNYOA. NYOA is a 501C4 non-for-profit. We are NOT tax exempt, and DO NOT engage in ANY political activity. NYOA is run by a Board that are elected each year at the Annual meeting. 

Each race is put on by an individual Promoter. They all abide by the rules and structure set forth by NYOA to bring together a cohesive series. 

STRUCTURE

Associate Leadership Team & Board

We typically have our annual meeting in November. This meeting includes the Associate Leadership Team or ALT. The annual meeting is where and when the next seasons NYOA Board members are elected. Anyone can run for any of the positions. We post on all our social media and the website a month before the meeting notify our members of the upcoming elections.  


The ALT is who votes for the NYOA Board members. The ALT includes all of the promoters, the rider reps and NYOA Board. Each person gets one vote with the exception of the President. The President doesn’t get a vote in the annual meeting unless it is needed for a tie breaker.

Also, if a Promoter holds another voting position, they DO NOT get two votes, they only get one vote.


These meeting are where the decisions for the following season are made. Things such as class changes, moving lines, rule

changes, change to our points system, and promotions. They also decide on large purchases to be used across events such as the trailers for scoring and registration. Pricing and any cost changes for pricing and pay, as well as adding or removing paid positions. A change to format would have to be done at this meeting as well.

The NYOA Board

 

Manages the ALT decisions for the race season. The board also oversees the process for those wishing to be new Promoters and well as any issues with promoters. The Board manages the assets and makes sure that during the season we have what is required at the events. This is anything from registration forms on the table to sound equipment to generators. The Board also handles series sponsorships & photographers, the Annual awards banquet and the scholarship fund. 

The Board is responsible for discipline items that are event related but not race or equipment violations. 

These are closed meetings. Your rider reps  are the rider's representatives in this meeting. After the annual meeting we write an informational post including the changes that have been passed and who the next season NYOA Board members are.


NYOA committees

The NYOA committees are chaired by a Board members on the current committees. You do not need to be a member to serve on a committee. The president is required to be part of every committee.

Competition Committee

 chaired by the Series Referee current chair Brian Kinney. The competition committe handes things such as Our rules and regulations for racing ( for racers and machines), Discipline for racing infractions, and Promotions. 

Scholarship Committee

 chaired by the Treasurer current chair Billie Jo Carnes  This committee oversees the scholarship application process.

Banquet Committee

 This is our largest endeavor, so we have had co-chairs with this as it is huge. Has been The Secretary and The Promoter Rep 

Cindy Davis and Chuck Reed. They over see annual awards  Banquet

Series Membership what do you get ?

Series Members are able to earn series points for in class and in the overall and then qualify for year end awards given out at the Annual Awards Banquet. Series and Associate Members can vote for Rider Reps and Track of the Year. This is done the Month leading up to the Banquet. Series or Associated Members can be elected to positions on the NYOA Board.

How does scoring work?

 NYOA uses the checkpoint scoring program. Transponders are purchased at Registration and assigned to racers. We recommend that the transponder be placed under the helmet visor, because if placed directly on the helmet the composition of the helmet material may block the transponder signal causing you not to read through scoring. 


Also, only one transponder number can be linked to a rider. If you have multiple transponders on your helmet, they will show in the program but will not be assigned to you which can also cause issues with scoring. This is why we need you to have your number stickers in your helmet. We have a backup hand writer in scoring who is recording these to use a a backup and double check.

 1. Gate Times for Opening/Closing

2. Parking area where/how

4. Generators (65db or less & onboard ok)

5. Pit Riding rule enforcement

 (must have a pit pass or be a worker)

6. Quiet Time (10:00pm Saturday)

12. Sweeping to clear the Track after a race 

13. Towing out a broken machine

NEITHER the PROMOTER or NYOA

  

1. No cell service 

2. Too Hot

THE MONEY

Who gets what, always a hot topic.

NYOA RECIEVES

The series memberships fees

1/2 of the day rider fee 

Transponder Sales (NYOA purchases them)

A portion of the race entry fee

$5 for every racer up to 500 then 

$6 for every racer over 600

The Promoter

Gate entry

Pit pass fee

Race fees minus NYOA portion 

1/2 day rider fee 

Profits from merch they sell for that round of any. 


Where does the NYOA money go?

REGISTRATION

NYOA purchases & maintains the following:

Registration supplies this includes 

Computers, Cables, Printers 

Helmet stickers,

Registration forms,

Transponders 

The generator to power registration 

Also, NYOA purchases the software for online registration. 


(Note NYOA does not make any profit on the fees for online registration) 


 NYOA also is responsible and pays for the website and the surveys.  

SCORING

Computers and cables 

The radios used by the scoring team and NYOA sweepers 

The flags (Green,yellow, white, & checkered)

The software needed for scoring. 

Generators for both scoring trailers 

TVs used to display race information 

Licensing and registration of the 3 trailers 



EVENTS AND BANQUETS COST

After the end of the season whatever remains is spent on the Awards banquet.


Last year NYOA spent approximately $20,000 over 10 events and then $75,000 was spent on the awards banquet.


We had trophies and awards given to the 759 riders who qualified for yearend awards.  



Promoter Expenses PRE-RACE

Unless a promoter owns the land they need to pay for land.

They will spend anywhere from 3-6 months before their event to layout and plan their event. Cut and layout race tracks and parking and vendor row.
